When a new customer is created, the system automatically checks for duplicates across multiple dimensions — company name, email, phone and domain. If an existing customer is matched, it immediately alerts you and shows the owning salesperson, stopping clashes and duplicate entry at the source: whoever enters first protects first.
Once a customer is assigned to a salesperson, a protection period begins. During this period no other salesperson can follow up or claim the customer. Valid follow-ups extend the protection, while prolonged inactivity lets it expire — with the system reminding the owner in advance to keep the customer active.
Customers with no valid follow-up beyond the configured number of days are automatically recycled into the public pool once the protection period expires.
